InterviewCandy ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered candidate screening platform, including our website, applications, and related services (collectively, the "Service").

Account credentials (managed securely by our authentication provider)

Organization name, logo, and billing address (for enterprise accounts)
Team member email addresses and roles (for enterprise accounts)

Candidate Information (Enterprise)

When enterprise organizations invite candidates to interview, we collect the candidate's name and email address as provided by the organization. Candidates do not need to create an account. During the interview, we collect the same interview data listed below (transcripts, recordings, scorecards). This data is accessible to both the candidate and authorized members of the inviting organization.

Interview Data

Job descriptions, evaluation criteria, and interview settings submitted by your organization
Text transcripts of AI-conducted interviews
Video and audio recordings of interview sessions (where supported by your browser)
AI-generated scorecards and assessments
Interview integrity signals that may be observed during an interview, such as another person appearing on camera, camera obstruction, or visible use of external materials
Interview settings you select (voice, duration, difficulty, language)
Evaluation criteria provided by the interviewer or organization

Technical Data

IP address, browser type, and device information
Usage counts (number of interviews per month)
Browser local storage and session storage for application state (we do not use cookies or third-party tracking technologies)

To provide and improve our AI candidate screening service
To generate AI-powered scorecards and feedback for hiring-team review
To help identify interview integrity signals during AI-assisted interviews, where enabled by the inviting organization
To support multilingual interview capabilities
To manage your account, subscription, and usage limits
To communicate with you about your account, updates, and support
To ensure platform security, enforce rate limits, and prevent abuse
To comply with legal obligations

4. AI Processing & Automated Decisions

Our platform uses AI models to conduct live voice interviews and generate candidate scorecards. AI-generated scorecards and assessments may be used by the inviting organization as part of its hiring evaluation process; however, InterviewCandy does not make hiring decisions. Employers retain full responsibility for all employment decisions based on AI-generated outputs. We are committed to reducing AI bias and regularly review our prompts and models for fairness.

Where enabled by an inviting organization, AI systems may also process interview audio, video, transcripts, and related session data to help detect interview integrity signals, such as another person appearing on camera, camera obstruction, or visible use of external materials. These signals are intended to support review and are not automatic proof of misconduct. InterviewCandy does not automatically fail candidates or make hiring decisions based on interview integrity signals.

5. Data Sharing & Disclosure

We may share your information with:

Service Providers: Third-party vendors who assist with authentication, payment processing, AI infrastructure, cloud storage (including Google Cloud Platform for interview recordings), and hosting
Legal Requirements: When required by law, court order, or governmental authority
Business Transfers: In connection with mergers, acquisitions, or asset sales

We do not sell your personal data to third parties. We do not share your interview transcripts, recordings, scorecards, or job descriptions with any third parties other than our AI and cloud infrastructure providers for the sole purpose of conducting interviews, storing recordings, and generating scorecards. For enterprise accounts, authorized organization administrators may access interview recordings and scorecards for candidates invited through their organization.

6. Data Retention

Interview transcripts, scorecards, and related data are retained for as long as your account is active. Interview video and audio recordings are stored securely on Google Cloud Platform with encryption at rest and in transit. Recording retention periods may vary by plan. You may request deletion of your data, including recordings, at any time by contacting us. Account and billing information is retained as needed to provide services and comply with legal obligations. When you delete your account, all associated interview data — including recordings — is permanently removed.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

Access, correct, or delete your personal data
Object to or restrict processing of your data
Request portability of your data
Withdraw consent at any time

8. Security

We implement industry-standard security measures including encryption in transit (HTTPS/TLS), row-level security on all database tables, CSRF protection, rate limiting, and Content Security Policy headers. However, no method of transmission over the Internet is 100% secure.

Our Service is not intended for individuals under 16 years of age. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and updating the "Last updated" date.
